Vendor Activity Report (VAR)

Use the Vendor Activity Report to show your Vendor the activity that you have done to sell their property.

TABLE OF CONTENTS

Provides your Vendors with an up to date report of the marketing activity for a listing. This can include open houses, Promotion advertising and website traffic. This report is usually provided to the vendor on a regular basis, to keep them informed of the progress of their listing's marketing. The information in the report is based on the activities that have been recorded in the listing's activity tab.


There are two options to create your Vendor Activity report both options will create a Report saved to the Listings docs tab that you can then email to your vendor.

Open the Listing > and Select the Activity button

The new report gives your more flexibility when building your report.

Open your Listing and Click on the Activity button and you will see the Vendor activity report wizard page, go through each step to build your report.

Step 1 - Options

Prepared for

This box will already be filled but you can change if you need to.

Agents

The listing agents will be displayed on the cover page, you can add or remove Agents. 

You can add up to 4 agents on your report


Cover Page - Yes/No 

Promotion - check to Show the Promotion Advertising plan

Internet Advertising - Check to show Internet Advertising

Show contact Full Name - Use this option to show the Open Home attendee full Name

Prepared by - This prints on the last page of the report

Step 2 - Comments

Intro Comments - You can add Opening comments to your report

Closing comments- Add a general comment about the progress of your marketing plan.

Step 3 - Open Homes

The Open Homes tab shows all open home attendees that you have had for your listing.

Residential listings only


This step displays all of the open homes attendees and there comment's they have made as well there level of Interest.

Select the records to include on your report.

Use the top left check box to select All


If the details are incorrect and you want to change them - select the Open Home attendee and then the Edit button


Step 3 - Activities

These are the activities recorded for this property.

 

Activities include automatic ones as well as tasks created by your agents. They include website enquirers, email inquires about the property from websites, out bound Email marketing emails, and sent txt messages. 

Select the activity records to include on your report.

  • Completed only - only Completed activities will be included, untick this box to see the Uncompleted activities.
  • Print Comments - Choose this option if you want to display the task/Activity Comment on your report.
  • Date range - Use the date range filter to view only the Activity records for a date range.
  • If you want to Edit an Activity select and click on the Edit button.

Step 4 - Web Views

If we are importing webhits from the websites that the property is being sent to you can select here.

You can choose from 3 different charts

 

Step 5 - Preview your report

When you are ready use the Save & Finish button to save the report to the listing docs tab.

Merge reports 

You might want to merge other website reports to create one report for your vendor. 

e.g. Take the Trademe listing report and merge with your OSL Vendor Report to make once report.

Once you have created your vendor activity report Download and save to your local pc and then you can merge using any on the Free online merge pdf tools. Done forget to upload the completed file back into the Listing > Docs tab  

Send to your Vendor

Once you have saved your Vendor Activity report it will be saved to the Listing > Docs tab . from here you can select and email to your Vendor

Notes

  1. Use the date range filter to view only the Activity records for a date range
  2. By default only completed Activities will be shown on the Vendor Activity report.
  3. If you are missing some Activities make sure that you add them on the Listing > Activities tab.
